At the Conference

1. What time do I have to arrive to the conference?

We advise the attendees to arrive to the conference venue half hour before the session begins. This allows all visitors to register at the registration desk, become familiar with the conference site and eventually for the event to start on time.

2. What is the conference dress code?

Although you should always bear in mind the nature of your event, business casual is traditionally the appropriate attire. Be sure to bring a sweater or jacket as meeting rooms can be chilly and an umbrella as the Irish weather is little predictable.

3. Where do I pick up my badge and my conference pack?

For your convenience, registration desk will be located in the immediate vicinity to the conference venue unless specified otherwise by the conference organizer. Attendees must present a photo ID in order to receive their conference materials.

4. Are there refreshments provided during the conference?

Refreshment breaks are usually provided for Conference attendees mid-morning and mid-afternoon in the hallway outside of the conference halls or in a nearby classroom. Depending on the event, lunch can be also included in the conference fee. If the organizers offer dinner as well, this is usually at an extra cost and is listed within the registration options. Food and beverages are also available for purchase at several locations throughout the campus. Please visit our website or download Places to Eat on Campus. A number of food vendors is also in the proximity of the campus for the visitors’ convenience.

5. What if I have a food allergy/intolerance of some sort?

Please be sure to include information about your allergies and/or intolerances when you complete your online registration, so that we can be sure to notify catering about meal needs. We might not be able to honor your requests if we are not notified in advance.

6. I require special assistance. How can I request it?

If you require special assistance, please indicate this during the registration process. Our Disability Support Service will ensure your needs are met.

7. May I use campus Wi-Fi and printing services?

UCC offers a guest wireless service to provide authorised sponsored guests short term access to the internet for accessing their email and other internet enabled services from their personal laptops, netbooks, smartphones or tablets during their stay in University College Cork. The conference organizer will provide you with your login details prior to the conference. For printing/copying requirements, please contact your conference organiser.

8. May I audio/video record the sessions?

All university conference halls are equipped with Panopto software to record and live stream audio, video and other multimedia content, such as the presentation slides. With the permission of the speakers, some or all conference sessions will be recorded, edited, and made available in electronic format to all attendees in the aftermath of the event.

9. Can I bring my family to the conference?

Only registered visitors may attend the conference, however, your family can engage in a whole variety of activities around the campus, which is full of many interesting buildings and features. From the Lewis Glucksman Gallery in the Lower Grounds to the Stone Corridor of the Main Quadrangle to the Crawford Observatory, UCC is a great place to spend a few hours. Sun indeed shines upon our campus regularly and when it does, UCC President’s Garden or neighboring Fitzgerald Park are the places to be.

10. Are pets allowed?

Service animals are always welcome. Unfortunately, we cannot allow non-service animals on the conference site.
